hostmyclub ("we," "us," or "our") helps people discover local clubs, register for events, and communicate with hosts. This Privacy Policy explains what information we collect, how we use it, and the choices you have when you use our website and related services (collectively, the "Service").

By creating an account or using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.

1. Information we collect

Account information

When you sign up or sign in, we collect information such as your name, email address, profile photo (if provided by you or an OAuth provider), and authentication identifiers. If you use Google or another OAuth provider, we receive basic profile information that provider shares with us (typically name, email, and profile picture).

Club and event activity

We store information you provide when creating or managing clubs, posting events, registering for events, and participating in club-related features (for example, registration status, club names, descriptions, locations, and event details).

Messages

If you use messaging features, we store message content, timestamps, and participants so conversations can be delivered and displayed to the intended users.

Location preferences

If you choose to find clubs "near you," location coordinates or postal code lookups may be processed to show nearby results. By default, your chosen location preference is stored in your browser (local storage) and is not saved to our servers unless a feature explicitly requires it.

Technical and usage data

We and our infrastructure providers automatically collect technical information such as IP address, browser type, device information, pages visited, and timestamps. Authentication sessions are managed using cookies and similar technologies.

  • Create and manage your account and authenticate you
  • Enable club discovery, event registration, and host–member communication
  • Send transactional emails (for example, event reminders or host contact messages)

We do not sell your personal information. We may share information:

  • With other users, as part of normal Service use (for example, your name and profile photo on event attendee lists, club pages, or messages).
  • With service providers that help us run the Service, including:
    • Supabase (hosting, database, authentication, and storage)
    • Vercel (website hosting and deployment)
    • Google (Sign in with Google, when you choose that option)
    • Email delivery providers (for transactional messages)
  • For legal reasons, if required by law or to protect rights, safety, and security.
  • In a business transfer, if we are involved in a merger, acquisition, or sale of assets (you will be notified where required by law).

4. Third-party sign-in

If you sign in with Google or another third-party provider, that provider's privacy policy also applies to information they collect and share with us. We receive only the information needed to authenticate you and populate your profile.

5. Data retention

We retain your information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. You may request account deletion by contacting us; some information may be retained where required by law or for legitimate business purposes.

6. Security

We use reasonable administrative, technical, and organizational measures to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

  • Update account details from your Account page where available
  • Link or unlink OAuth providers from Account settings
  • Clear browser-stored location preferences in your browser or Account settings
  • Request access, correction, or deletion of your personal information
  • Withdraw consent where processing is based on consent (without affecting prior processing)

8. Children

The Service is not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.
